Board basics

Daily crew work without digging around.

Daily board

Use the board to assign people into departments and roles for the selected date.

  • Pick the board date, then load or save.
  • Drag employees into roles or OFF / NOT ASSIGNED.
  • Use role notes and vehicle numbers for the extra details crews need.

Roster drawer

The slide-out roster is for quickly finding and adding people.

  • Filter by All, Full-time, or Part-time.
  • Search by name, department, or position.
  • Double-tap/double-click a person to add them to the selected role.

Publishing

Publishing makes the current board live for viewers, TV mode, and shared links.

  • Save keeps your working draft.
  • Publish updates the live board.
  • Publish snapshots let admins review or restore previous live versions.

Setup and management

Build the board structure and keep the workspace clean.

Setup Wizard

The wizard helps a new admin build the first board without hunting through every setting.

  • Open My Tools → Board & View → Open setup wizard.
  • Add departments, roles, and the starting roster flow.
  • Use it as a first-run helper; detailed edits still live in Board Setup and Roster Editor.

Board Setup

Admins can manage departments, roles, scenarios, OFF / NOT ASSIGNED, and favourite department behaviour.

  • Open My Tools → Management → Board Setup.
  • Add, rename, reorder, and remove departments or roles.
  • Use scenarios for separate boards like day shift, night shift, standby, or winter maintenance.

Workspace Manager

Workspace Manager opens the larger admin tools in a roomy view.

  • Roster Editor manages employee records.
  • Board Setup manages layout.
  • Attendance, Rules, Diagnostics, and Change Log stay grouped under Management.

Communication and files

Keep messages, alerts, and employee documents tied to the roster.

Message Center

Use Message Center for direct updates to employees or groups.

  • Inbox shows received messages.
  • New Message sends text-style internal messages with optional attachment.
  • Sent lets permitted users review what they sent without deleting the recipient copy.

Mobile & Text Alerts

Users can manage phone verification and text alert preferences from My Tools → Notifications.

  • Verify the mobile number before expecting texts.
  • Use the master text notification switch to turn SMS on or off.
  • Separate switches control message alerts and publish alerts.

Manage My Files

Manage My Files stores and organizes documents connected to employees and messages.

  • Upload or review employee documents.
  • Use sharing/handoff controls where available.
  • Attachments and messages are designed around a cleanup window so old items do not pile up forever.

Viewing and sharing

Good for TVs, supervisors, and read-only access.

TV Mode

TV Mode is a cleaner read-only board for wallboards and crew-room screens.

  • Open TV mode from the board/share tools.
  • Use refresh timing for near-live display.
  • Optional scenario rotation helps cycle through multiple boards.

Read-only share links

Share links let someone view the board without giving them a login.

  • Create board or TV links from the share tools.
  • Add an optional PIN for simple protection.
  • Revoke old links when they should no longer work.

Board Note / Shift Banner

The Board Note banner is for daily reminders at the top of the roster.

  • Admins can manage it from My Tools → Board & View.
  • Use it for short operational notes, weather reminders, or shift callouts.
  • The Manage button appears in the banner for admins only.

Account, billing, and security

Keep the workspace protected and subscription details clear.

Users and access

Admins decide who can edit, publish, view, or manage system areas.

  • Admin has full control.
  • Standard users can work with allowed tools and publish where permitted.
  • Viewer accounts focus on read-only board access and personal tools.

2FA and account security

Two-factor authentication helps protect accounts beyond the password.

  • Open My Tools → My Account.
  • Scan the QR code with an authenticator app.
  • Keep backup codes somewhere safe after setup.

Billing and trial

Payment Manager tracks the plan, trial window, renewal date, billing contact, and auto-renew setting.

  • New public signups start with a 7-day trial.
  • Billing starts after the trial unless cancelled.
  • Free trials are locked to one per billing/admin email.

Troubleshooting

Fast checks before digging deeper.

After an update

A browser may hold old files for a little while.

  • Hard refresh after a patch.
  • Confirm the URL is loading the latest public/index.html cache version.
  • On iPad/iPhone, close and reopen the Home Screen app if styles look stale.

Login and company code

Most login issues come from the wrong company code or expired session.

  • Use the company code from the welcome email.
  • If fields act strange, fully log out and reload the login page.
  • Disabled companies and inactive users cannot sign in.

Diagnostics

Diagnostics is for deeper checks when push, SMS, or queue processing needs testing.

  • Only the diagnostics account can access Diagnostics.
  • Use it to test push notifications and SMS setup.
  • Check server logs and outbox files when messages are queued but not delivered.
